Scheduling MTSU Distance Courses Academic departments are responsible for scheduling MTSU distance learning courses for the semester of delivery noted in the Course Development Agreements. Distance Learning Faculty Services is not authorized to schedule courses. Course designers should contact the Distance Learning Faculty Services Office if there is a delay in initial delivery.
Please Note:
- New online and hybrid courses may be added to the semester schedule no later than four weeks prior to the start of the semester if the review/approval process has been completed. Exceptions must be approved by the VPAA's office.
- New online and hybrid courses will not be added to the semester schedule until they have been peer reviewed and reviewed and approved by the department chair and the Course Approval Form returned to the Distance Learning Faculty Services Office.
- Correspondence course materials (revisions and due dates) must be submitted to clangley@mtsu.edu by the dates noted below to be included in the printed materials placed for student purchase in the MTSU Bookstore:

Course Definitions MTSU Online Courses – Optional meetings only may be scheduled. All work is conducted online. Proctored exams are permitted. MTSU Hybrid-Online Courses – No more than nine (9) hours of required face-to-face or on-campus meetings may be scheduled, including orientations, unit exams, midterm, and final exams. MTSU Correspondence Courses – No more than nine (9) hours of required face-to-face or on-campus meetings may be scheduled, including orientations, unit exams, midterm, and final exams. Regents Online Degree Program Courses – Online courses developed by members of the Tennessee Board of Regents (TBR) Campus Collaborative including technology centers, community colleges and universities involved in a strategic planning effort to offer the Regents Online Degree Programs (RODP) and the Regents Online Continuing Education and Workforce Development (ROCE).
Scheduling Courses
- Faculty should work with their departments to schedule delivery of their distance courses.
- Faculty should include the dates/times/locations of all optional and required on-campus meetings in the semester schedule and in the course syllabus.
- Departments are responsible for reserving meeting space (by the deadline) for courses which are not staffed when submitting the schedule.
- The Scheduling Center should be notified each semester of all distance courses being offered.
- Meeting type and instructional method codes are as follows:
Online Courses Meeting Type: ONLN Instructional Method Code: WEB Hybrid Courses Meeting Type: HYBR Instructional Method Code: HYB Correspondence Courses Meeting Type:CORR Instructional Method Code: SLF
On-campus Meetings/Exams All on-campus meeting space must be reserved in advance of the beginning of each semester according to the announced Scheduling Center deadlines.
To reserve on-campus facilities for mandatory and optional meetings, including unit exams, midterm and final exams for hybrid and correspondence courses, as well as optional meetings for online courses, follow the instructions below. Room assignments are confirmed with the departments.
- Print, complete and submit to the department scheduler the Distance Learning Meeting Request Form below. (This form may not be submitted electronically.) The department forwards the requests to the Scheduling Center.
- Room requests received prior to the Scheduling Center deadline may be made for mandatory or optional meetings.
- Requests received after the Scheduling Center deadline may be for optional meetings only and require the approval of your Department Chair, Dean and Vice Provost (see waiver request form below).
- The approvals will be kept on file.
Please note: -Submission of this form should occur as departments are building their semester schedules. -Mandatory meetings create RaiderNet time conflicts preventing students from registering for other classes. -Optional meetings do not create RaiderNet time conflicts and are listed as memo notes in RaiderNet. In order to view the notes, students must click on the CRN. It is recommended that professors email their classes regarding scheduling of optional meetings. -The Scheduling Center must also be notified of meeting space reserved in the BAS Computer Lab by completing the Distance Learning Meeting Request Form. This insures that students have access to all meeting information on RaiderNet.

Exams - Distance Learning Test Center/Proctoring Information
- The Distance Learning Test Center, located in 126 Kirksey Old Main, is available for distance faculty to accommodate only those students whose schedules conflict with posted test dates/times.
- The Test Center cannot accommodate entire classes.
- Faculty who wish to provide this service for their students must provide a copy of the exam to the Test Center, and students may schedule to take the test based on the instructor’s timeframe.

On-campus Test Services Faculty who wish to provide this service for their students must provide a copy of their exam (and password for online exam) and special instructions to the Test Center.
- Students may schedule their exam dates/times based on the instructor's exam timeframes.
- All exams scheduled through the Distance Learning Test Center must be completed prior to the scheduled on-campus class exam.
- Exam deadlines:

- evening exams - noon of the day of the exam;
- day exams (before 3:00 p.m.) - evening prior to the scheduled exam.
- Testing is by appointment only and picture identification is required.

Off-campus Test Proctoring The Test Center also provides off-campus test proctoring services for students who live more than 50 miles from campus. Faculty who permit off-campus proctoring of distance course exams may provide the following information to their students.
- Students should select a test center on a university/college campus or at a library and schedule a mutually convenient date and time to take their exam.
- Students should then complete and submit the request form on the Test Center website.
- The exam must be completed by noon on the day of the scheduled on-campus exam unless written permission to take it after that time is sent by the instructor to Sheila Copeland at skcopela@mtsu.edu.
- Student requests must be received at least two weeks before the date on which the exam is scheduled. Students must obtain permission from the instructor to test after the deadline or come to campus to take the exam if the request is received less than two weeks before the exam date.
Off-campus Proctor Requirements
- Off-campus testing is only permitted at a test center on a university/college campus or at a library.
- Employers are no longer acceptable proctors. Exceptions can be made for active members of the military.

Regents Online Degree Program (RODP) Website
Course Scheduling
- Unless RODP courses are offered on a rotation schedule, they are expected to be offered every semester.
- The number of sections offered is dependent on the history of the course.
- If MTSU cannot staff a course it developed, the course is offered to the other four-year institutions for staffing.
- Course scheduling is coordinated by the Tennessee Board of Regents (TBR) through the Distance Learning Faculty Services Office and the MTSU Scheduling Center.
- RODP and MTSU courses share a common academic calendar with one exception: RODP summer courses are taught in a single session which lasts from early June to mid-August.
Test Proctoring Information
- Students are responsible for identifying appropriate proctors and for scheduling their tests according to the noted RODP guidelines.
- RODP instructors review and approve all potential exam proctors.
Test Proctoring Sites Students should check with their home institution proctoring contacts regarding their proctoring needs.
