Frequently Asked Questions

How much will this cost each department?
There is no investment on the part of the University or any department. Each individual department will only be charged for what they print. Again, there will be no lease payments, no purchase of equipment nor supplies (except paper). If a department prints nothing in any given monthly billing cycle, the charge will be $0. A single print driver will be used that will allow “follow me” printing and will authenticate and track printing to any device. The charge follows the user, not the device. Billing of the per-click charge will occur monthly with the Information Technology Division maintaining reports of usage.

How will users be tracked?
If a department is connected to “Follow Me” printing, the user authentication and tracking will be provided through FSA, magnetic strips on MTSU ID cards and/or pin numbers. Authenticated users will be allowed to submit print jobs via a set email address from mobile and wireless devices on and off campus. If a department elects to not use “Follow Me” printing, charges are based on the clicks of the machine.

Will tech support be provided?
R.J. Young Help desk support will be provided from 8:00 a.m. to 5:00 p.m., Monday through Friday.
Two dedicated technicians have been assigned to MTSU and are located on campus from 8:00 a.m. to 5:00 p.m., Monday through Friday with additional help allocated if needed. In addition, an after-hours help desk will be available, and an after-hours service technician can be available through contract negotiations.

What will happen to discontinued printers and faxes?
Discontinued models that do not at least meet or exceed current specifications will be replaced. All devices will have no-user replacement parts (with the exception of toner if desired). Any devices not meeting 98 percent uptime with a machine that is at least equal to or better will be replaced. Technicians will collect used toner on a regular basis from departments.

Will user training be provided?
User and key operator training will be provided for all devices that will cover all basic and advanced functionality, from walk-up to workstation with on-going support.

How will sensitive data be protected?
Encryption will be used to protect all temporary data stored documents on the internal disk drives.
