STUDENT DEGREE AUDIT

Screen 681 is the most commonly used screen in OnCourse. By using Screen 681, you can check the academic progress of the student in the program in which he/she is currently enrolled. This screen is especially helpful to faculty advisors by listing the student's remaining requirements. You can also do "what if" audits for the student against a different program and/or catalog.

The primary degree plan that displays when you type in the student's SID is the major that the student has declared on screen 111. It is the student's most current program. However, if a term is entered in the Term field on the top line on the 681 screen, the degree plan listed will be the one that the student had for that term (this may or may not be the student's current program).

To perform an audit for the student's current program, leave the term field blank. After getting to the 681 screen, just press the ENTER key. Wait a few seconds and the audit will begin to display. A normal audit will show all courses that the student is enrolled in and registered for as lacking. If you enter an N in the Final Audit field on the 681 screen, the audit assumes successful completion of all course work for which the student is enrolled, registered for, and/or has an incomplete grade. In other words, the N audit will not show these courses in the lacking section of the audit; they will be in the completed section.

To perform a "what if" audit (an audit against a different program), tab down to the line below "or specify a program below" and type in the new program. Tab to the beginning of each line and type in the information requested. Type only the fields that are different. For example, if you want to do an audit on the same program but for a different catalog, type the new catalog in the Catalog field. Once you have typed in the new plan, press the ENTER key. Wait a few seconds for the audit to begin.

To print the audit, press the PF1 key and then the 6 key. You must press these 2 keys independently - do not press them at the same time. The PF1 key is sometimes labeled the "GOLD" key or the "Num Lock" key. If the printer code hasn't been entered, you will get a message to enter the printer code. If this happens, enter the printer code (04 in most cases) without pressing the ENTER key and then press the PF1 key and the 6 again.

To exit the audit, press the PF1 key and the 9; its the only way out.

Notes about the audit:

  1. The degree plans in OnCourse begin with the 1991 catalog; an audit cannot be done with OnCourse for a student that has a catalog year prior to 1991 Fall.
  2. Occasionally, a student's audit will show "Initial Statistics". Transfer courses prior to spring 1991 have not been entered on SIS, only the totals (Initial Statistics). Since the specific courses are not entered, the audit will not know what these courses are. Should any of these courses apply, a course substitution form will need to be submitted.
  3. The GPA displays for each major group.
  4. Several notations appear by the courses on all of these lists. (e.g. transferred courses; renumbered courses, repeated courses, waivers and substitutions)
  5. An index appears at the bottom of each screen. To go directly to one of the sections mentioned in the index, type in the page number of that item and press ENTER.
  6. To scroll through the audit, press the ENTER key repeatedly.
  7. To exit the audit, press the PF1 key and the 9.
