Middle Tennessee Administrative Professionals Membership
To maintain your membership, you must pay annual dues every year. Membership begins on January 1 and expires on December 31. A membership drive is held at the beginning of the year; however, applications are accepted at any time throughout the year. Members who join in December are allowed to carry over their membership to the next year.

Step One: Complete the 2026 Middle Tennessee Administrative Professionals Membership Application.
Step Two: Send your $20 membership fee to Denise Gonzalez via campus mail, Box #37 (cash/check payable to MTAP).
Please be aware that non-members who wish to attend events after January 31 will be charged a fee per event, to be determined.
Meets as needed to review and discuss possible changes to MTAP by laws and constitution. Prepares
possible changes and submits them to the MTAP officers so they can be voted on by all members.
Election Committee
The Election Committee is responsible for coordinating the nomination and election process for MTAP officers. This includes soliciting nominations, preparing and distributing ballots, collecting votes, tallying results, and announcing the outcomes. Nominations begin in May of each year with the new officers taking office on July 1st.
The Committee shall be a minimum of three (3) active members of which one (1) member will be the chairperson.
Elections are held annually, with each officer serving a two-year term. The President and Treasurer are elected in one year, and in the alternating year, the Vice President and Secretary are elected.

The Fundraising Chairperson – Works with the committee by delegating various tasks to committee members. Responsible for contacting people responsible for digital advertising to promote fundraising across campus. Responsible for managing the budget for printed materials or costs associated with planned activities. Responsible for sending fundraising email notices to subscribers and one to Academic Affairs. Responsible for meeting with the board on an as-needed basis.
The Fundraising Committee is responsible for coordinating the annual MTAP fundraiser. It is also responsible for creating and implementing new fundraising ideas. This committee sends out emails advertising the sale, collects orders, distributes the product(s), and ensures that the funds are given to the MTAP Treasurer. Sends out digital thank-you notes to participants to improve relationships. Meets on an as-needed basis.
Head Nut Person – Contact the vendor’s representative to place an order for nuts at least 3 weeks before they are scheduled to be delivered. The nuts can be presold, starting in late October or early November.
When nuts are delivered, ensure there is space to store approximately 26-30 cases off the ground. Arrange a time for other nut reps or committee members to assist with filling the orders. Contact nut reps to pick up orders.
After all preorders are complete, arrange the loan of nuts to various reps across campus. (They are responsible for securing their inventory).
Responsible for maintaining inventory count, collecting all monies, and meeting with the treasurer at least every other week for the transfer of checks and signing off on sales.
Responsible for promoting sales with flyers that can be sent to all reps for printing and displaying. (This could be delegated).
This role requires someone who is organized, detail-oriented, and who doesn’t get easily overwhelmed by chaos. Requires extra time after work to complete some tasks and a boss who is supportive of the constant interactions /interruptions during this season.

The MTAP Monthly Newsletter Committee creates and disseminates a monthly newsletter, which includes but is not limited to MTAP events, member accomplishments and birthdays, and recaps of recent gatherings. The committee’s aim is to celebrate our organization and its members and provide information on items of general interest.
The committee chair is responsible for creating the monthly production timeline, delegating tasks to committee members, and ensuring the newsletter is posted to the website and sent to MTAP members, as well as helping with the building of the newsletter where needed.

The MTAP Summit Committee is responsible for coordinating the MTAP Summit event. This is a full day of professional development. This committee secures the facility, coordinates the presenters, completes the necessary forms, orders food, prepares decorations, sends out “save the date”, invitations, sign-ups, and reminder emails to members. A budget should be discussed and agreed upon with all members of the committee and the MTAP officers prior to purchasing anything for this event. Meets on an as-needed basis.

The purpose of the MTAP Outreach Committee at MTSU is to promote awareness of the organization and its mission, encourage engagement among administrative professionals, build a strong sense of community, support the growth and development of its members, and celebrate the valuable contributions of administrative staff across the university.
Goals:
- Increase involvement/participation of existing MTAP members
- Increase membership by hosting events or other forms of communication with potential members
- Support the other MTAP committees, to help make sure that our outreach goals are being incorporated into the existing events and fundraisers.

The Party with a Purpose Committee is responsible for coordinating the Party with a Purpose event. MTAP gives back by picking a cause to support at this event. This committee secures the facility, completes the necessary forms, coordinates food, prepares decorations, sends out “save the date”, invitations, sign-ups, and reminder emails to members. A budget should be discussed and agreed upon with all members of the committee and the MTAP officers prior to purchasing anything for this event. Meets on an as-needed basis.
Takes photos of meetings, special events, and workshops to use in the newsletter or website. Meets
on an as-needed basis.
The Prize Patrol Committee requests donations from individuals, the campus, and local businesses. The donations are used for prizes/gifts at MTAP meetings such as the Summit and Winter Wonderland. Examples include gift cards, hand-crafted items, new gift items, etc. Donations are accepted throughout the year.

MTAP Scholarship Committee Members are responsible for reviewing and rating scholarship applications each term. There are currently 6 members on the Committee.
To fulfill this role, members must be comfortable using Microsoft Teams, as all application materials will be shared digitally through designated folders on the MTAP Scholarship Committee Team site. Members should maintain confidentiality and impartiality when evaluating applicants, providing fair and thoughtful assessments based on the redacted information presented.
Committee members must be available to review applications twice a year during two distinct cycles.
- For CAP Scholarships, reviews typically occur in mid-January (spring) and mid-July (fall).
- For the Bonnie McHenry and MTAP Scholarships, which are awarded once per term, review periods are generally in mid-June (spring) and mid-November (fall).
- Members are expected to rate each application on a scale from 1 to 10, with 10 being the highest. Another method for rating may be employed, depending on the number of applicants.
Depending on the number of applications, Committee members may spend 30 minutes to an hour reviewing and submitting their ratings. A prompt response is requested to ensure the timely selection and notification of recipients.
The MTAP Scholarship Committee Chairperson is responsible for overseeing the application, selection, notification, and payment processes for the Certified Administrative Professional (CAP) Scholarship ($575), the CAP Recertification Scholarship ($150 for members/$400 for Registrants), the Bonnie McHenry Scholarship ($500), and the MTAP Scholarship ($500).
Scholarships are available each spring and fall.
Each semester, the Chair begins by confirming the number of available CAP scholarships with the MTAP Board.
- The Chair collects applications via email by the deadline listed on the MTAP website, ensuring to print and date each one for paper records and scan them into organized digital folders by scholarship type and term.
- The Chair verifies applicants’ eligibility with the MTAP Treasurer, ensuring the member is in good standing and has been so for one year or more.
- Eligible applications are redacted for anonymity and saved in the appropriate MTAP Scholarship Committee Team folder for review.
- Within one week after the application deadline, the Chair gives committee members access to the redacted folder and requests that they rate each application on a scale of 1 to 10, with 10 being the highest rating. Another method for rating may be employed, depending on the number of applicants.
- After collecting and tabulating the scores, the Chair notifies the MTAP Treasurer who has been selected for each Scholarship.
The Chair also notifies the selected recipients.
- Those selected for the CAP Scholarship are sent a congratulatory letter with instructions for obtaining the exam fee code from the MTAP Treasurer.
- Those selected for the Bonnie McHenry and MTAP Scholarship are notified with a congratulatory letter. Payment for these awards are submitted via Foundation Workflow.
- Applicants who are not selected are informed and encouraged to apply again in the future.
The Souper Luncheon Committee is is responsible for coordinating the Souper Luncheon event. This committee secures the facility, completes the necessary forms, coordinates food, prepares decorations, sends out “save the date”, invitations, sign-ups, and reminder emails to members. A budget should be discussed and agreed upon with all members of the committee and the MTAP officers prior to purchasing anything for this event. Meets on an as-needed basis.
The Winter Wonderland Committee is responsible for coordinating the Winter Wonderland event. This committee secures the facility, completes the necessary forms, coordinates food, prepares decorations, sends out “save the date”, invitations, sign-ups, and reminder emails to members. A budget should be discussed and agreed upon with all members of the committee and the MTAP officers prior to purchasing anything for this event. Meets on an as-needed basis.
