Intent to Graduate Form

An Intent to Graduate form is your first step in heading down the path to graduation. This form must be completed either at the end of your next to last semester or the beginning of your last semester of graduate school. Without this form completed, you will not appear in any commencement/graduation communications and will not recieve a diploma. This form is how we know of your graduation intentions.

The Deadline to file an Intent to Graduate form for a Summer 2021 graduation is June 4, 2021.

If you have already completed an Intent to Graduate form and need to delay your graduation for any reason, a Request to Withdraw Intent to Graduate Form may be filed and a new Intent to Graduate Form completed for the semester in which you plan to graduate.

Diploma Name & Address Confirmation

The graduation information link is available at PipelineMT > Registration & Student Records > Academic Records > Graduation Information link.

Your name as it will be printed on your diploma can be seen in the box titled Graduation. Your diploma name is your legal name on file in the MTSU student system at the time you submitted your Intent to Graduate form. All diploma name changes must be submitted by June 18, 2021.  Please click here for additional infomation on how to make necessary changes.  There will be a $30.00 charge to change your name and re-issue your diploma once the diplomas have been printed.

You should review and verify your diploma mailing address at the above graduation information link. Your diploma address is the diploma address listed on your Intent to Graduate form. A diploma mailing address change can only be made by emailing records@mtsu.edu from your mtmail indicating “diploma” address. You must include your M#. All diploma mailing address changes must be submitted by August 6, 2021. There will be a $30.00 charge to re-issue your diploma if the diploma address was not updated by deadline and subsequently mailed to an invalid address.

Diploma

Diplomas will be mailed to verified August graduates to the diploma address that displays on the Graduation Information link. There is no pick-up option. The diploma includes your name and degree earned and is 8½“ x 11” for undergraduates and 11” x 14” for graduate students. Majors, concentrations, and minors are not printed on the diploma but are listed on the official transcript. Students earning a double major (same degree) receive one diploma. Students earning dual degrees (example: BS/BSN, BA/BM) will receive two diplomas. 

Transcripts

Degrees are not awarded until all summer grades are posted and the graduation analysts have reviewed each candidate. 

When completing your Official Transcript Request Form, please indicate that you would like to "hold for degree." Without this indication, your transcript will be sent immediately and you may need to purchase a new copy with your degree posted at a later date. Outstanding University Debt

T.C.A. § 49-7-166 and University policies 640/646 prohibit the issuing of diplomas, certificates of credit, or grade reports to any student unless the student has satisfied all debts or obligations owed to the institution. 

Commencement

The Summer graduation ceremony will be held on AUGUST 7, 2021, at 9 a.m. in Murphy Center on the campus of MTSU.  

Graduate Parking for Commencement

Campus parking is free and available on a first-come, first-served basis for students and guests.  Questions concerning parking or other special facilities for guests may contact (615) 898-2752.  Graduates and guests may also view a campus parking map showing disabled parking areas.

For guests that may need some assistance, the University will be providing golf cart transportation.  For visitors that park in the Greenland parking lot, there is a station that will transport people with mobility issues to Murphy Center in golf carts. When pulling into the Greenland lot, ask the police officer for directions to the station.

Visitors and graduates should be prepared to walk significant distances from parking and within Murphy Center. 

Cap & Gown (Regalia)

August 2021 Graduates Needing Regalia

August 2021 expected graduates should make arrangements to pick-up their regalia at the Phillips Bookstore in the Student Union on one of the following days and times.  

  • Saturday, July 31 - 10 a.m. to 2 p.m.
  • Monday and Tuesday, August 2 and 3 - 8 a.m. to 5:30 p.m.
  • Wednesday and Thursday, August 4 and 5 - 8 a.m. to 4:30 p.m.
  • Friday, August 6 - 8 a.m. to 4 p.m. 

There is no charge to receive a cap and gown.  Expected August graduates may pick-up their regalia, regardless if they choose to participate in the ceremony.  REMINDER:  Cap and gown WILL NOT be available for pick-up at the ceremony.  

Unable to Pick-up Regalia

If you are unable to pick-up your regalia on the dates listed above, we encourage you to send someone else to pick it up for you.  If someone else will be picking up your gown, you must provide your authorized person with a signed and dated statement from you, authorizing pick-up of your gown.  Your note must list your full name, MTSU M#, your height & weight (used for gown size) and the name of your authorized person.  Make sure your authorized person comes prepared to present their valid photo ID, such as a driver's license or their MTSU issued ID if they are also a student.

Please note, if your regalia is not picked-up at the bookstore, the University will not mail regalia due to the gown size being unknown.  If you are participating in the August graduation ceremony, you must wear regalia.  Graduates who are in the military may wear their uniforms in lieu of the academic cap and gown.  

Graduate (Masters/EDS) Hood:

Note: This process has changed. You may pick up your Masters/EDS hood at the bookstore with the rest of your regalia. You are responsible for putting on your hood before a graduation ceremony. Be sure to ask the Bookstore for instructions at pick-up, or read the instructions that come with your hood, and try it on before arriving at the ceremony. Commencement staff are unable to assist with hoods.

Career Development Center

Services are available to students and alumni, which include Lightning Career Link, college-specific career development, career fairs, and other special events. Please visit the Career Development Center website for more information and services as well as to contact your career advisor.

Diploma Name Change Process

You do NOT have to submit legal documentation if you are simply changing an existing middle name to an initial or removing a middle or maiden name from your diploma name. For this type of diploma name change, you may email records@mtsu.edu from your MTSU issued email.  Please include your M number on all correspondence.

If you need to correct your diploma name (for example, add a middle name, change a last name, etc.), please send an email to records@mtsu.edu and attach legal documentation which must show your name exactly as you are requesting it to be printed for the diploma.  Legal documentation may include a driver’s license, social security card (all but last four digits blacked out), marriage certificate, birth certificate, divorce decree, passport, court-ordered document, permanent resident card, or naturalization papers.  If you want this name change to be made within the MTSU system, you must include a name change form, along with the documentation and scan or email to records@mtsu.edu or fax to 615/898-5538. The form must indicate diploma name change is also requested

If you only want to change a listed middle name to a middle initial, remove a middle name or add a maiden name you were previously enrolled as at MTSU, you just need to email Records@mtsu.edu with your request.

After the diploma name has been updated, expect to receive email notification that the update has been made and a prompt for you to go back into PipelineMT to verify it is correct. Do not miss this important step.

If you are an International Student only International Affairs may correct your student system name. If International Affairs makes a correction to your system name you must then notify records@mtsu.edu to update your diploma name by the deadline.

 

 

Students are expected to be registered and enrolled in at least one graduate credit hour during the term of expected graduation. Prospective graduates must regularly check their MTSU email for important graduation and commencement information sent from records@mtsu.edu.
